Document Versioning

The Document Versioning feature is an essential component of the Document Management Page, providing users with comprehensive tools to manage the evolution of their documents over time. This functionality allows users to maintain a clear and organized history of changes, ensuring that important edits and updates are tracked effectively.

Users can Add New Versions of a document seamlessly, enabling them to update content while preserving previous iterations. Each time a new version is uploaded, it is automatically logged, allowing for easy access and management.

To facilitate oversight, users can All Versions in a dedicated list. This list displays each version alongside key details, such as the version number, date created, and any relevant notes regarding changes made.

When users need to review specific content, they can View Older Versions of a document. This capability is crucial for assessing changes and understanding the document’s development over time.

Document Audit Trail

The Documents Audit Trail feature allows you to maintain complete oversight of all document-related activities. You can view a comprehensive list that includes critical information such as the action date, document name, category name, and the specific operations performed on each document, such as creation, reading, adding or removing permissions, viewing, and adding versions. This trail also specifies who performed the action, to whom it was directed, and the relevant roles involved in the operation.

To enhance usability, the audit trail includes pagination and filtering options, enabling you to filter the list by name, category, and users. This functionality ensures that you can quickly and efficiently locate specific actions or documents, making it easier to track changes and maintain compliance. With this robust audit trail, you can ensure transparency, accountability, and security in your document management processes.

Document Sharing

The Document Sharing Page provides a comprehensive interface for managing shared documents among users and roles. It allows you to share documents easily with specific users or defined roles within your organization, streamlining collaboration and access management. You can set specific periods for document sharing, ensuring that access is granted only for a defined timeframe to enhance security. The platform also gives you control over download permissions, allowing you to decide whether recipients can download the shared documents.

Additionally, the system automatically sends email notifications to users when a document is shared, keeping everyone informed and facilitating prompt action. You can view a detailed list of documents assigned to users or roles, which includes information such as whether downloading is allowed, the specific user or role that has access, their email address, the type of user or role, and the start and end dates of the sharing period. This dedicated page enhances the efficiency and security of document sharing, providing a clear overview of access rights and facilitating effective communication among users.
